Ethics Policy

8Bit/Digi values the trust its readers place in our editorial integrity and the accuracy of the information we present. To uphold that trust, 8Bit/Digi will always disclose whether a game, accessory, event pass, or any other product was provided at no cost for the purpose of coverage. 8Bit/Digi will also disclose when any such items were purchased independently by the publication. All disclosures will be clearly stated within the article, typically at the beginning or end of the published piece. This commitment to transparency applies to all reviews, previews, event coverage, and related editorial content.

Cosplay, Event, and Convention Photos

Cosplay Photos: 8Bit/Digi will always seek the consent of a cosplayer before photographing them. If a cosplayer later wishes to have their image removed from the website or associated social media accounts, 8Bit/Digi will honor that request within a reasonable timeframe. Exceptions may apply in cases where the individual appears in a group photo of three or more people or is not the primary subject of the image. In such instances, 8Bit/Digi will review the request on a case-by-case basis and make a good faith effort to accommodate it to the fullest extent possible.

Ownership: It is the policy of 8Bit/Digi that ownership of all cosplay photos is shared between 8Bit/Digi and the cosplayer who is the primary subject of the image. 8Bit/Digi will use these photos solely for editorial purposes, including event coverage, articles about future or related events, and supplemental visual content for other publications. Photos may also be used in promotional materials to advertise 8Bit/Digi and its editorial content. No photos will be made available for sale or commercial licensing under any circumstances. Individuals who are not the primary subject of a photo or who appear in the background do not hold ownership rights to the image. Such individuals may not reproduce, distribute, or otherwise use the image without prior written consent from 8Bit/Digi.

The cosplayer who is the primary subject of a photo retains full and unrestricted rights to use that image as they see fit. This includes, but is not limited to, personal use, commercial sale, licensing, and any business ventures. As a co-owner of the image, the cosplayer is under no obligation to seek approval from 8Bit/Digi for any such use. 8Bit/Digi holds no claim to and is not entitled to any profits, compensation, or revenue generated by the cosplayer through the use of their image.

Convention / Expo / Event Photos: Event organizers who wish to use 8Bit/Digi‘s photos for promotional purposes are encouraged to contact us directly. Upon approval, 8Bit/Digi will provide the original high-resolution images for use in promotional materials. The recipient is free to edit or modify the images as needed for their purposes.

Photo Usage: 8Bit/Digi will use photos from conventions, events, and cosplay gatherings solely for its coverage of those occasions. These images may also serve as supplemental visual content for future articles covering similar subjects or the same event. Photos will not be sold, licensed to third parties, or used for promotional purposes unrelated to 8Bit/Digi‘s editorial content. All images are used in accordance with the publication’s editorial standards and applicable press guidelines.

Correction Policy

8Bit/Digi is committed to the accuracy of its reporting. When errors occur, the publication will take full responsibility and correct the record promptly. Corrections will be made within a reasonable timeframe following verification of the reported error. All corrections will be clearly noted within the article through an editor’s note or update timestamp indicating what was changed and when. This policy applies to verifiable factual errors. Differences of opinion regarding editorial perspective, tone, or interpretation do not constitute errors subject to correction. Readers who identify an error in any published content are encouraged to report it by leaving a comment on the article or through any of 8Bit/Digi‘s official social media accounts.

AI Policy

AI is a tool that can help streamline parts of our editorial workflow. It is not a replacement for actual writers. 8Bit/Digi supports the use of AI tools such as Claude AI to assist with copyediting for grammar, punctuation, and spelling errors that writers may have overlooked. All writers are expected to produce their own original content. Writers may use AI in limited capacity to proofread their work and suggest necessary edits after the writing is complete. The writer is responsible for reviewing every suggested change to ensure it is accurate. The meaning, facts, and intent of the original writing must not be altered. The writer must also verify that the AI has not introduced any unauthorized content into the work. Our writers and staff should not be using AI to produce their work. Failure to adhere to this policy may result in editorial review or corrective action.

Privacy

8Bit/Digi does not collect, store, or sell the personal data of its readers. 8Bit/Digi fully complies with all current internet privacy and data protection laws. This includes, but is not limited to, the California Consumer Privacy Act (CCPA), the General Data Protection Regulation (GDPR) of the European Union, the Personal Information Protection and Electronic Documents Act (PIPEDA) of Canada, and the Lei Geral de Proteção de Dados (LGPD) of Brazil. 8Bit/Digi is also committed to compliance with any future privacy legislation as it is enacted.
